How to Set Up Automations
Pre-built automations work immediately; to add your own, open Automations, create a rule with a trigger (e.g. status change) and one or more actions (create task, notify, email), then activate it.
Relently’s pre-built automations run from day one — creating stage-based tasks, sending deadline reminders, and following up on inactive leads. When you need something specific, build your own rules with a simple WHEN → THEN builder.
Build a custom rule
- Open the Automations section.
- Pick a trigger: status change, document status, document missing, task overdue, offer received, or scheduled.
- Add one or more actions: create a task, send a notification, or send an email.
- Choose who to notify (agent, admins, student, or parent) and set any conditions.
- Use template variables like {{studentName}} in your messages, then activate the rule.

Frequently asked questions
Do I have to set up automations to benefit?
No. Useful automations are on by default. Custom rules are only for when you want behavior specific to your agency.
What can a rule do?
A rule listens for a trigger and runs actions — create a task, send an in-app notification, or send an email — to the agent, admins, student, or parent.
Will custom rules clash with the defaults?
No. When a custom rule is active for an event, it replaces the corresponding default for your organization.
