Privacy Policy

Relently (“Relently”, “we”, “us”) is a product of LetTech, Pakistan’s Problem-First Technology Company, based in Peshawar, Pakistan. This policy explains what data we collect, how we use and protect it, and the choices you have.

1. Who we are

Relently is an all-in-one CRM for study abroad consultancies. When a consultancy (an “Organization”) uses Relently, that Organization is the data controller of the student and applicant data it puts into the platform, and Relently acts as a data processor on its behalf. For the Organization’s own account data, Relently is the controller.

2. Information we collect

• Account data — names, email addresses, phone numbers, and passwords (stored only as salted hashes) for the people you invite to your Organization.
• Student & applicant data — information your Organization enters about students: contact details, academic records, target programs, application status, and uploaded documents (e.g. passports, transcripts).
• Communications — messages exchanged through connected channels (WhatsApp, email, SMS) and in-app notes.
• Usage & technical data — log data, device/browser information, and IP address used to operate and secure the service.
• Cookies — strictly necessary cookies for authentication and session management (see Section 7).

3. How we use your data

• To provide and operate the CRM (pipeline, documents, deadlines, reporting).
• To send transactional notifications and reminders you configure.
• To secure the service, prevent abuse, and enforce our Terms.
• To provide support and to bill for paid plans.

We do not sell your data, and we do not use student data for advertising.

4. Bring Your Own Channel (BYOC)

Relently is BYOC: you connect your own WhatsApp Business (Meta), Twilio (SMS), and email (Gmail/SMTP) accounts. When you send messages, they are transmitted through your connected provider accounts under those providers’ terms and privacy policies. Your channel credentials are stored only to operate the integrations you enable.

5. How we store & handle your data

• Tenant isolation — every Organization’s data is logically isolated; access is scoped to your Organization on every request.
• Access control — role-based permissions (Admin, Manager, Agent, Sub-Agent, Parent, Student) limit who can see what.
• Encryption in transit — traffic is served over HTTPS/TLS.
• Document storage — files are stored in access-controlled storage; when cloud storage is configured, downloads use short-lived signed links.
• Retention — we keep data for as long as your account is active or as needed to provide the service; you can request deletion (Section 8).

6. Sharing & sub-processors

We share data only with the infrastructure and communication providers needed to run the service (for example, our hosting provider, database, and the channel providers you connect). We require these processors to protect your data and use it only to provide their service to us.

7. Cookies

Relently uses only strictly necessary cookies — secure, HTTP-only cookies for login, sessions, and security. We do not use advertising or third-party tracking cookies. Because these cookies are essential to operate the service, they cannot be switched off without breaking core functionality.

8. Your rights

Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. Organization members should contact their Organization administrator first (the controller); you can also reach us at info@lettech.pk and we will respond within a reasonable time.

9. Data retention & deletion

When an Organization closes its account, we delete or anonymize its data within a reasonable period, except where we must retain limited records to comply with legal, tax, or security obligations.

10. International transfers

We are based in Pakistan and may process data there and with providers in other regions. Where data crosses borders, we take steps to ensure it remains protected consistent with this policy.

11. Children’s data

Relently is a business tool for consultancies and is not directed at children. Where an Organization processes data about minors, the Organization is responsible for obtaining any required consents.

12. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
